1. Introduction

Helpline Educare (“we”, “us”, or “our”) operates a welfare education management system used by schools, vocational training centres, staff, teachers, parents, guardians, donors, and students. This policy explains what personal information we collect through the Helpline Educare website and the Helpline Educare mobile app, how we use it, and the choices available to you.

By creating an account, signing in, or otherwise using the service, you acknowledge this Privacy Policy. If you do not agree, please do not use the service.

2. Who we are

Helpline Educare is a student management and donor welfare platform. Authorized campus administrators create user accounts. The service is intended for educational and welfare operations, not for public self-registration.

3. Information we collect

Depending on your role, we may collect:

  • Account details: name, email address, hashed password, role, campus or branch assignment, and profile information.
  • Student records: student ID, name, date of birth, gender, photo, class and section, admission dates, contact numbers, address, hometown, and academic status.
  • Guardian and family details: guardian name, CNIC, income, status, emergency contacts, and linked parent accounts.
  • Staff and teacher details: employment information, CNIC, date of birth, and attendance records.
  • Academic and welfare records: attendance, exams, results, fees, donations, events, talent-hunt entries, stock, and related campus records.
  • Technical data: authentication tokens stored on your device, and standard server logs such as IP address, browser type, and request time used to operate and secure the service.

We do not use advertising networks or third-party marketing trackers in the app or dashboard.

4. How we use information

We use personal information to:

  • Provide and maintain the education management system
  • Authenticate users and enforce role-based access
  • Record attendance, exams, fees, donations, and campus operations
  • Show parents, donors, and staff the records they are authorized to see
  • Improve reliability, prevent abuse, and keep the service secure
  • Comply with legal, regulatory, or organizational obligations

5. Children’s information

Helpline Educare processes information about school-age children as part of campus operations. This data is collected by authorized school or welfare staff, typically with guardian involvement, and is used only for education, safeguarding, and welfare purposes. Children should not create accounts on their own. Parents or guardians who have been given access may review information about their linked students through the service.

6. Who can see information

Access is limited by role and campus. Administrators and authorized staff can manage campus records. Teachers generally see students and academic information for their classes. Parents and donors see only the students and related records linked to their account. Users must not share login credentials or copy student, guardian, or donor data outside the service except as required for official school or welfare work.

7. Sharing

We do not sell personal information. We may share information with hosting and infrastructure providers who process data on our instructions, with other authorized users of the same organization according to their role, or when required by law. Donor-linked student information may be visible to the assigned donor so they can support that student’s education.

8. Storage and security

Data is stored on secured servers. Passwords are stored in hashed form. Session tokens on the website are kept in the browser; the mobile app stores tokens in the device’s secure storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Cookies and local storage

The website uses local storage and related browser storage to keep you signed in and to remember preferences such as theme. These are essential for the service to function. We do not use them for advertising.

10. Mobile app

The Helpline Educare mobile app (package org.educare.app) connects to the same service as the website. It may store sign-in tokens on the device so you remain logged in. You can remove this data by signing out or uninstalling the app.

11. Retention

We keep account and student records for as long as they are needed for campus operations, audit, and legal requirements. When a record is no longer required, authorized administrators may update or remove it according to organizational policy.

12. Your rights

Depending on your role and applicable law, you may request access to, correction of, or deletion of personal information we hold about you or your linked students. Parents and guardians should contact their campus administrator. Staff and other users should contact their Helpline Educare administrator. We may need to verify your identity and may retain information where we have a lawful or operational need to do so.

13. Changes

We may update this policy from time to time. The “Last updated” date at the top of this page will change when we do. Continued use of the service after an update means you accept the revised policy.
